Team Assistant
We are looking for a proactive and highly organised Team Assistant to support our department heads. This is a fantastic opportunity for someone who thrives in a fast-paced environment and enjoys variety in their day-to-day work. Reporting to our Senior EA & Admin Manager, you’ll play a key role in keeping things running smoothly by providing high-quality administrative support, managing schedules, coordinating meetings, and handling sensitive information with discretion and professionalism.
We’re looking for someone who shows initiative, is eager to learn, and can adapt quickly to the changing needs of the business. A sharp eye for detail and a commitment to accuracy are essential, as is a positive, can-do attitude.

KEY RESPONSIBILITIES:
- Proactively schedule, organise, and maintain calendars for the department heads - ensuring meetings, appointments, and deadlines are coordinated efficiently and potential conflicts are resolved in advance
- Attend meetings to capture detailed, accurate notes; prepare and distribute agendas and minutes to relevant stakeholders in a timely manner
- Manage a range of administrative tasks including document preparation, filing, data entry, and maintaining records with a high level of accuracy and attention to detail
- Organise domestic and international travel, including transportation, accommodation, and itineraries, ensuring all bookings are cost-effective and meet the needs of the traveller
- Support the coordination and administration of employee training activities, including scheduling sessions, maintaining training records, and liaising with facilitators and attendees to ensure smooth delivery
- Assist in managing office supplies, overseeing equipment maintenance, and supporting day-to-day operational tasks that keep the office running smoothly
- Support with routine H&S tasks, including maintaining compliance records and assisting with office audits or incident documentation
- Provide flexible administrative and coordination support across business initiatives and projects as needed
REQUIRED SKILLS:
- Previous experience gained in administrative or customer service roles
- Good organisational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and as part of a team
- Demonstrates initiative, a willingness to learn new skills, and adaptability to the needs of the business
- High level of discretion and professionalism when handling confidential information
- High level of accuracy and attention to detail in work
